Good WhatsApp marketing software lets you segment subscribers, send campaigns, build automations, use AI Agents and track revenue. When choosing a platform, look closely at its features: Which customer data can you use? How much can you customise your flows? And do the reports show where you can improve WhatsApp performance? Ease of use, setup time and the ways AI can support your team matter too.
Which features matter when choosing WhatsApp marketing software?
Usability and AI: how quickly can you build your first campaign?
With traditional software, you work through menus and editors.
You learn where to create segments, build flows and schedule campaigns. You also need WhatsApp marketing knowledge: which audience fits the campaign, when to send a follow-up and how to write the message.
With charles cowork, you can build your campaign in chat.
Describe what you want to do and cowork helps you put it together. It asks for missing details and contributes WhatsApp marketing knowledge. For example, you can start with: “Help me create a WhatsApp campaign for our next product launch.”

Once your account is set up, you can start working on your first campaign draft within the first few minutes. Describe changes in chat, ask cowork to explain its suggestions and decide when the campaign is ready. Our campaign example with cowork shows how this works.
When choosing software, distinguish technical setup time from the time it takes to build a campaign yourself afterwards.
Connecting your shop and importing data are part of setup. An intuitive interface and useful AI features can then reduce the learning involved. Ask to see how a campaign is built and which steps you need to handle yourself.
Segmentation: which subscribers receive your campaign?
You should be able to segment subscribers by interests, previous purchases and campaign interactions. The software needs data from your shop, CRM or previous WhatsApp conversations to do this.
You should be able to save answers about product interests as tags and use them in later campaign segments. You should also be able to exclude individual subscribers or whole segments from a send.

In a software demo, ask to see how segmentation works and which filters you can use with your data.
The software should also record opt-ins and exclude subscribers who have opted out. A phone number alone does not give you permission to message someone. Meta requires opt-in permission for subsequent messages or calls and requires businesses to respect opt-outs. See the WhatsApp Business Messaging Policy for the details.
Workflows: messages that respond to customer behaviour
A flow should check whether a message still makes sense before sending it. Has a subscriber already bought? Is the product still available? Have they just received another message? Conditions determine when to send and when to skip the message.

For an abandoned-cart reminder, a condition should check for a purchase before sending. If the subscriber has bought, the reminder is skipped. The flow may already have started; the condition prevents an unnecessary message.
This requires current purchase and stock data in the flow. Also look for conditions based on country and language, and waiting times your team can adjust.
AI Agents: what happens after you send a campaign?
A WhatsApp campaign often brings replies and questions in chat.
Ideally, an AI Agent answers common questions straight away. Your team handles the requests the agent cannot or should not resolve.
An FAQ agent can answer questions about shipping costs or return deadlines. A context-aware AI Agent should also use the conversation so far and the available product or order data. If someone asks “Does it come in M?”, it should recognise which product they mean. If it lacks that context, it needs to ask.
You also need to know when the agent will not answer or take action. Your team should be able to define when it hands over to a person: for example, when information is missing, an exception is requested or a customer explicitly asks to speak to the team. Once a person takes over, the agent should stop replying. It should only accept a return after the deadline if you have authorised that exception.
At handoff, the support team needs the conversation history and the customer's request. It should be able to continue in the shared inbox or your existing support system. In charles, AI Agents for customer service can answer questions and pass conversations to your team.
When evaluating software, ask to see which information the agent uses, which tasks it handles and how you set its limits.
Integrations: which data and features can you use?
A list of integrations does not tell you how deeply the systems connect or which features you can use. Importing contacts, for example, is not enough for an abandoned-cart reminder. The flow needs cart contents and current purchase data so it does not send a reminder after an order.
| What you want to do |
What the integration needs to provide |
| Send abandoned-cart reminders |
Cart contents and current purchase data |
| Tell a subscriber a product is back in stock |
The requested product, variant and current stock |
| Give product advice in chat |
Details such as size, material and availability |
| Answer questions about an order |
Relevant customer and order data, plus access to the chat history |
| Honour opt-outs |
Pass the unsubscribe to all connected systems that trigger further messages |
You also need to know what requires setting up and who will do it. If a connection stops working later, your team should hear about it before campaigns run on outdated data.
Reporting: track revenue, growth and account goals
Good reporting shows how revenue, costs and subscriber numbers change over time. You should be able to compare individual campaigns and flows and see whether the whole account is meeting your goals.
| KPIs |
What they tell you |
| Attributed revenue and orders |
Which purchases the software assigns to WhatsApp and how they break down across campaigns and flows |
| Revenue per Recipient (RPR) |
Attributed revenue per subscriber in a send, useful when comparing campaigns with different audience sizes |
| Return on WhatsApp Spend and messaging costs |
How much attributed revenue you get for each euro spent on messages |
| Subscriber count, new opt-ins and opt-outs |
How many subscribers join, how many leave and whether your list grows overall |
| Delivery, open, click and conversion rates |
How many messages arrive, are opened and get clicks, and how many subscribers buy |
| Share of subscribers matched to shop profiles |
How many subscribers the software can match to a shop profile to attribute purchases |
Which purchases does the software count towards WhatsApp? Revenue attribution should explain which interaction counts and how long afterwards a purchase can still be attributed. The data source matters too. In charles, shop data or Google Analytics may be available, depending on your setup. They attribute purchases differently, so you should not simply add their revenue figures together. For RPR and conversion rate, the software should explain which subscribers it includes in the calculation.
For account-wide Return on WhatsApp Spend, charles divides revenue attributed through shop data by messaging costs reported by Meta. Software and support are not included. The figure shows revenue relative to messaging costs, not your profit.

What can you improve with these numbers? Reporting shows where to take a closer look. In our Customer Success work, we also look at tags, conditions and tracking. For example:
- Adding tags: A flow asks about product interests but does not save the answers as tags. Those tags can help build relevant campaign segments later.
- Adjusting conditions: Subscribers need different messages depending on their country or language. The appropriate condition nodes route them to the right language version in the flow.
- Finding tracking gaps: If a subscriber is not matched to their shop profile or tracking parameters are lost, purchases may not be attributed. Those gaps can leave purchases out of the campaign report.
The numbers alone do not explain these problems. A low conversion rate, for example, does not tell you that the copy or the discount caused it.
How close are you to your account goals? You might aim for 10,000 subscribers by year-end or a 10x Return on WhatsApp Spend this quarter. In charles, cowork can assess the account against those goals and suggest improvements. A subscriber goal needs to account for unsubscribes. Return on WhatsApp Spend requires both revenue and cost data.
You should be able to set goals, track revenue and costs, and use the data to improve campaigns and flows. As with an ads manager, the aim is to manage the performance of the whole channel.
What does WhatsApp marketing software cost?
We believe WhatsApp deserves a permanent place in the marketing mix. It can be a highly profitable channel that brings additional purchases and strengthens customer loyalty. Fast answers and useful advice in chat can also improve customer satisfaction.
When comparing prices, consider what you can achieve with WhatsApp as well as what you will pay. Revenue, repeat purchases and customer service belong in that decision alongside costs.
One example is the December 2024 Forrester study we commissioned (PDF). Based on an interview with a fashion retailer, it models a 249% ROI over three years compared with the retailer's previous messaging solution. The calculation includes additional operating profit and cost savings. The 249% is a model for that case, not an average across our customers.
A quote should show what you will pay in total and what is included:
| Cost |
What to look for |
| Software |
Base fee, included features and plan limits |
| WhatsApp messages |
Prices by destination market and message type, plus any provider markup |
| Additional usage |
Any charges for AI, subscribers, contacts or users |
| Setup and support |
Costs for setup, integrations and ongoing assistance |
| Contract |
Term, minimum commitments and charges at higher usage |
Meta charges for billable messages when they are delivered. Prices depend on the destination market and message category. The quote should therefore use current rates for your markets and message types. You can find them in Meta's pricing overview.
For an initial cost estimate, you could use a quote for one campaign a month to 5,000 subscribers. A second example can show what more subscribers or more frequent campaigns would cost. You do not need to have your sending schedule worked out yet.
Which providers could you consider?
If you already use a marketing platform, look at which WhatsApp features it includes. Can you keep using your customer data and workflows? Does it offer the features you need, or is something important missing? That will help you decide whether another tool would be useful.

This overview is a snapshot as of 21 October 2026. It reflects our current assessment based on publicly available information. We last checked the product details on the providers' websites on 20 October 2026. We have not tested the tools ourselves, and we are one of the providers. Features can change and new ones can be added, so take a look at the current offers too.
With an API offering, find out whether it includes ready-to-use software. The API connects WhatsApp to an application. On its own, it does not give your marketing team an interface for creating campaigns, segmenting subscribers or reviewing KPIs. For your own application, you need developers to build and maintain it.
